Agentic Solar portal

Client guide

This guide walks through your portal tab by tab: what each screen shows, what the numbers mean and what, if anything, you need to do. The screenshots come from a sample client, Helios Dach & Solar in Graz, so every name and number in them is an example and your portal shows your own.

The portal carries the Agentic Solar name. If your account runs under Gloura, as BYD Steiner's does, you see the Gloura logo instead, and everything else works exactly the same.

Welcome and signing in

You reach your portal at app.gloura.online. There is one login page for everybody, and your access starts with an invitation from your account owner, so no password ever travels by email.

The invitation link opens this page, where you choose your password once.
The one login page at app.gloura.online.
If the link does not open by itself, paste it here.
Forgot password sends a link that works for one hour.
The link from the email opens this page to set a new password.

What you see

  • The invitation email comes from your account owner and holds one link to app.gloura.online, and it never contains a password.
  • The invitation page greets you with your company name, shows your role and your zone, lists what the portal holds and says how many days the link stays valid. A link works for seven days.
  • The login page asks for your work email and your password under Clients. Continue with Google sits below it under Team and callers and is meant for our own team and the callers who phone your leads, so as a client you always sign in with your email and password.
  • After ten attempts within 15 minutes the login page asks you to wait 15 minutes before you try again, which keeps your account safe from guessing.
  • The sun and moon button in the top right corner switches between dark and light on every page.
  • On a phone the menu moves to a bar at the bottom with Overview, Pipeline, Inbox, Meetings and More, and More opens every other page.

What to do

  • Open the link in the invitation email, choose a password of at least 8 characters, type it twice, accept the portal terms and press Set password and open portal. You land on your Overview.
  • If the link has expired, ask your account owner for a new one, which takes them one click.
  • From then on, sign in at app.gloura.online with your work email and your password. A session lasts 30 days on each device.
  • If you forget your password, press Forgot password?, type your email and open the link we send; it is valid for one hour. Setting a new password signs you out on your other devices.
  • If we handed you a shared login with a first password, the portal asks you to choose your own password the first time you sign in.
  • To change your password later, open Settings and fill in the Password card.

Overview

Overview is the first page after you sign in. It answers three questions on one screen: how much went out, what came back and what needs you today.

Overview for the last 30 days, with two replies waiting.

What you see

  • The greeting line names today, says how many replies are waiting for you and when your next call is.
  • Four tiles show Emails sent, Replies, Interested and Meetings booked for the period in the chip at the top right, which you can set to the last 7, 30 or 120 days or to all time.
  • Where we are tracks the four steps from Contract signed through Strategy call and Infrastructure setup to Launch. Once you have been live for more than two weeks it folds into one line such as Live · week 4 · since 6 October, and Show stages opens it again.
  • Your pipeline shows how many companies sit in each stage, and Emails sent, day by day shows one bar per day with your best day, the average per working day and the number of inboxes sending for you.
  • Waiting for you appears only when the agent held a reply for you, with at most two of them and an Answer button on each.
  • Next meetings lists your next two calls with the time, the company and the status, and This month counts the meetings booked in the current month as took place, booked ahead or to confirm.
  • Open invoices live under Billing, one click away in the menu, so the Overview stays focused on your outreach.
  • Your plan, at the bottom of the page, holds the cards we agreed with you after the strategy call: the plan, the market, who we reach, how we approach them, the industries and the script. It appears once we have written the first card.

What to do

  • When the yellow button says Answer 2 replies, press it to go straight to the replies that need you.
  • Click a stage in the funnel to open the pipeline filtered to that stage.
  • Press Email report for every number in detail, day by day, with the replies themselves.
  • On a phone, tap Show day by day inside the pipeline card to see the bar chart.

How your emails are written

Every first email we send for you is written for one person at one company. This section explains, from your side, how a company in your zone becomes an email, a reply, a meeting and finally a line on an invoice.

  1. Where the leads come from

We start from the companies in your zone or from a list you give us. We find them with our Lead Finder or import your own list, and every address is checked against every other list we hold before anything is sent. An address that anyone emailed before, that sits in another client's list or campaign, or that appears twice in the upload is dropped, so nobody hears from us twice.

  2. What happens before the first email

For each person, the agent reads the company's website and the person's LinkedIn profile and decides whether they fit the instructions we agreed with you. A person who does not fit is skipped. For everyone else it writes one email for that one person, opening with a specific observation about their business, kept under 120 words, with a single question and signed with the sender name of the campaign.

  3. How it goes out

The email leaves from your own inboxes, which send only for you. Each inbox sends a fixed number of new emails per working day, at most 20, inside your time zone and sending hours, with about ten minutes between two emails, and we never write to two people at the same company within three days. The follow ups go out on their set delays and stop the moment the person replies.

  4. What happens to replies

Every reply lands in Conversations. The agent answers on its own, and when the person wants to talk it offers times and books the call when the lead picks one. Only the threads it cannot answer are held for you under Waiting for you, and those are the only threads you answer yourself.

  5. How a reply becomes a meeting, a brief and an invoice

A booked call appears under Meetings with a brief written before the call: who they are, their company, what they asked and the points to open with. After the call its outcome is logged on the meeting. On per meeting pricing the meeting becomes one line on an invoice under Billing, and a call that is cancelled or where nobody shows up is never charged.

A campaign shows how fast it sends and what it brought.
Scripts and copies before sending starts. From the first send, every email appears here as it went out.

What you see

  • Campaigns lists each campaign with its status, how many of its leads have been reached and how many are left.
  • Each campaign shows its sending days and hours with the time zone, the daily cap per inbox, the number of follow ups and the inboxes that send it.
  • Scripts and copies keeps every email that went out for you word for word, so you can read exactly what your prospects received.

What to do

  • Read a few of the first emails in Scripts and copies during the first week, and tell us if the tone or the angle should change.
  • Use Propose a change in Settings to ask for another industry, a different angle or a pause. We confirm by email and you see the status move.
  • You do not approve single emails. The agent writes inside the instructions we agreed with you, and you can read every result.

Pipeline

Pipeline is your list of companies with the stage each one has reached. It is the same list we work from, so a company shows up here as soon as it is researched for you.

Every company in your list and how far it has come.
Click a company to open its panel.

What you see

  • Queued means the company is researched and waiting for its first email.
  • Contacted means we emailed them and have no answer yet.
  • Replied means the person wrote back.
  • Interested means they asked for more, a call or a price.
  • Meeting booked means a call is in the calendar.
  • Not pursued means they are not a fit, bounced, unsubscribed or were already emailed before.
  • The table shows each company with its website, the decision maker with their title, the stage, the last activity and, where we have them, the industry and the script that wrote the first email.
  • While you are on Pipeline, the menu also shows three saved views: Interested, not booked; Meetings booked; and Replied, to follow up.
  • Table and Board switch between the list and a board with one column per stage, where each company sits as a card in its column.
  • Export downloads the companies you are looking at as a CSV file, with the stage and search you picked, so you can open them in Excel or Numbers.
  • Add a company and Update my criteria at the top open the Propose a change form with the subject filled in, and your proposal reaches your account owner, who answers in Settings.

What to do

  • Click a stage pill or pick a stage in the Stage menu to filter the list, and click All to see everyone again.
  • Search by company, person or email address, and the list updates as you type.
  • Click a row to open the panel with the decision maker, the industry, the script and the activity, and press Open thread to read the conversation when they replied.
  • Use a saved view to jump to the companies that need a follow up, such as people who are interested but have not booked yet.
  • Press Board to see the stages side by side, and Table to go back to the list.
  • Press Export to keep a copy of your list, or of one stage, in a spreadsheet.
  • If you know a company we should write to, press Add a company and name it with its website. If your zone, your industries or the size of the roofs you want change, press Update my criteria and tell us what changed.

Where the number comes from

Conversations and Waiting for you

Conversations holds every reply to the emails we sent for you, together with what the agent answered. The agent replies on its own, so most threads need nothing from you.

Waiting for you shows only the replies the agent held for you.
A thread waiting for you, with the messages by day and the answer box.

What you see

  • Four filters sit at the top: Waiting for you, All, Interested and Handled by agent, each with its count.
  • Each thread opens with the company, the person, their badges and the key facts: the script that wrote the first email and the inbox it came from.
  • Messages are grouped by day. Your emails carry the sender name of the campaign, answers the agent wrote are marked Agent, and a reply the agent kept back is marked Held for you.
  • Waiting for you means the agent could not answer the reply on its own, for example because the person asks who exactly will call or wants a document only you can give.
  • The number next to Conversations in the menu and on the bell shows how many replies are waiting.

What to do

  • Open Waiting for you, read the reply and press Answer.
  • Write what you want the person to know and press Send. Your answer goes to the person who wrote, from the same inbox their reply came to, so the conversation stays in one thread.
  • Only threads under Waiting for you can be answered, and only while the last message in the thread is theirs. Everything else the agent handles, so All, Interested and Handled by agent are there for you to read.
  • Switch on Email me every reply in Settings if you want each genuine reply in your own inbox as well.

Where the number comes from

Waiting for you

Meetings

Meetings shows every call we booked for you, week by week, with a brief for each one and, afterwards, what happened and what was invoiced.

Two calls that took place, each with its outcome and its invoice.
The brief is ready before the call.
Calls lists the days a meeting was booked for you.

What you see

  • A meeting lands here the moment it is booked, whether the agent booked it in the thread or the person used the booking link.
  • Each card shows the time and length of the call, the company, the contact and their role, a short summary and badges for where it came from, the script, Agent booked it, Brief ready, the outcome and the invoice.
  • The status reads Booked, Confirm when the time still needs a yes, Took place, No show or Cancelled, and cancelled calls drop out of the week.
  • The brief holds who they are, where they are, what they asked and numbered talking points, with a link to the full email thread.
  • Below the week, Earlier lists the last ten calls that took place or where nobody showed up.
  • Week and List at the top switch between the week view and one list of every call ahead and behind.
  • Add to my calendar on a card saves that call as a calendar file with the time, the summary and the join link, and the button at the top adds this week, or every call ahead in List, in one go.
  • Calls in the menu counts the meetings booked in the last 30 days and in all time, and lists the days they were booked.

What to do

  • Use Previous, This week and Next to move between weeks, or press List to see every call at once.
  • Press Add to my calendar and open the file it saves, and the call lands in Outlook, Google Calendar or Apple Calendar with the join link inside.
  • Press Open brief before the call and Join call when it starts, and use Full email thread to read what the person wrote.
  • If a call did not take place, tell your account owner the same day, so it is marked as a no show and never invoiced.

How a meeting becomes an invoice

Per meeting
Every booked call creates one invoice line on the day of the meeting at your price per meeting, which the card shows as Invoiced.
Cancelled or no show
A cancelled call voids its invoice by itself and a no show is voided by us, so it shows as Void and you only pay for meetings that took place.

Copies and the report

Two pages show what went out and what came back in full detail: Scripts and copies for the emails themselves, and the Email report for the numbers behind them.

What you see

  • Scripts and copies lists every email that went out for you exactly as it was sent, newest first and ten per page, with filters for everything sent, first emails, follow ups and our replies to people who answered.
  • Each copy shows who it went to, the subject, the full text and whether it was opened.
  • How each script performs groups the first emails by the script that wrote them, with the emails sent, the open rate, the reply rate and the dates the script was in use.
  • The Email report shows six tiles: Emails sent with the people reached, Replies with their share of the people emailed, Interested with its share of the replies, Meetings booked, Not interested, and Bounced with the unsubscribes.

Contracts

Contracts holds every agreement between us. You read and sign in the portal, and both sides keep the same signed PDF.

A contract that waits for your signature sits on top.
Read on the left, sign on the right.

What you see

  • When we send a contract, you get an email saying it is ready to sign with a link to the portal, and Contracts shows it on top with Read and sign.
  • Each contract shows its status, which reads Waiting for your signature, Signed, Superseded or Ended, with the dates it was sent, opened and signed and the name of the person who signed.
  • After signing, the details show the time, the name and title, and the fingerprint, a long code that identifies the exact PDF you signed.
  • Signing a newer contract marks the earlier one as Superseded, and your first signature moves Where we are on the Overview to Contract signed.

What to do

  • Press Read and sign and read the whole text. The PDF button downloads the same text as a file.
  • Type your full name and, if you like, your title.
  • Draw your signature with the mouse, a finger or a pen, or switch to Type and type your name as the signature.
  • Tick I have read and agree to this contract and press Sign.
  • The signed PDF is in your Contracts tab right after you sign, and PDF downloads it at any time.

What the fingerprint is

Fingerprint
A checksum of the exact PDF you were shown, so anyone can check later that the signed file was not changed. The signed PDF adds a last page with your signature, your name, the date and time in Vienna and in UTC, your IP address, your browser and that fingerprint.

Billing and invoices

Billing shows how you are billed, what is open and what is paid. Invoices are paid by bank transfer, and each one comes as a PDF.

Billing with one open invoice and the lines behind it.

What you see

  • Three tiles show what is open with the next due date, what you paid this year and your price, either per meeting that took place or as a monthly retainer.
  • Prices are set in euro. If you are billed in another currency, the tile shows your price in that currency with the euro amount at today's rate, and each invoice keeps the rate of the day it was made, so its amounts never move afterwards.
  • The invoices table lists each invoice with its number, such as INV-2026-0412, the issue date, the number of lines, the amount and the status: Open with its due date, Partly paid, Overdue in red, Paid or Void.
  • What the invoice is made of lists every line of the latest month, one per meeting or the month's retainer, each marked Invoiced, Paid or Void, with the net, the VAT and the total under the lines.
  • Billing details shows what we print on the invoice: your company, address and VAT number, the address invoices go to, payment by bank transfer within 14 days, your currency and the agreement.
  • The invoice PDF carries our details and yours, the lines, the net amount, the VAT with its rule, the total in your currency, the euro equivalent and our bank details.

What to do

  • Press View to open an invoice and PDF to download it.
  • Press Download all invoices at the top to save the PDF of every sent invoice of the year you picked in one go, for your accountant.
  • Press Bank details on an open invoice to see the account holder, IBAN, BIC and bank, and put the invoice number in the transfer reference.
  • Pay within 14 days of the issue date. We send one reminder in the three days before the due date and one the day after it, each with the PDF.
  • Switch on Email me new invoices in Settings to get each invoice by email the moment it is issued.
  • If something on an invoice looks wrong, write to your account owner and name the invoice number, such as INV-2026-0412.

How invoices are made

Per meeting
Every booked call creates one line at your price on the day of the meeting, due in 14 days, and a cancelled call or a no show is voided and shows as Void.
Retainer
One invoice on the first day of each month for that month, due in 14 days.
Exceptions
A special price we agreed for certain meetings, such as a lower rate for smaller systems, is applied to that one line and named in its description.
VAT
Clients in Austria pay 20 percent, businesses elsewhere in the EU with a VAT number are invoiced under reverse charge at 0 percent, and clients outside the EU pay no VAT. The rule is printed on every invoice.

Infrastructure and campaigns

Infrastructure shows the domains and inboxes that send for you, and Campaigns shows what they are sending. Both pages are read only, because we run them for you.

Infrastructure before the first inbox is connected.
Campaigns with one running and one being prepared.

What you see

  • Four tiles show how many inboxes send for you and how many of them are healthy, your domains, the daily capacity and the planned launch date.
  • The inbox table lists each address with its sender name, the warm up progress, its health and how many emails it sent today against its cap. Health reads Healthy, Warming up, Needs attention or Paused, and passwords always stay with us.
  • The domains list shows each of your sending domains with its number of inboxes, and these domains send only for you.
  • A campaign reads Being prepared while we set it up, Running while it sends, Paused while we hold it, for example at your request, and Finished once every lead was reached.

What to do

  • Nothing is needed from you here, because these pages show the setup we run for you.
  • If you want more volume or a pause, use Propose a change in Settings or write to your account owner.

Where the numbers come from

Warm up
A new inbox first exchanges a small number of emails with other inboxes for a few weeks to build its reputation, and it counts as ready once warm up is complete or its reputation is at least 90 after 14 days.
Daily capacity
The sum of the daily caps of the inboxes that are switched on, at most 20 new emails per inbox per working day, with the follow ups going out on top.
